Spotlight's Research & Intelligence team operates a Managed Services practice that manages AI influence monitoring infrastructure for B2B technology clients. The AI Platform Coordinator supports the daily operational rhythm of this practice — ensuring that data flows reliably from the Profound platform to the analysts and consultants who use it, that client configurations are accurately documented, and that the operational checklist gets executed consistently across the portfolio.
This is an entry-level role for someone who is organized, detail-oriented, and comfortable working inside a technology platform on a daily basis. You don't need to know how AI influence monitoring works on day one — you need to be the kind of person who follows a process precisely, catches when something looks wrong, and communicates clearly when it does. You report to the Managed Services Lead and work closely with the AI Configuration Specialist.
Responsibilities:
Execute scheduled data exports from the Profound platform across the client portfolio on a daily or weekly cadence. Verify that each pull completes successfully and deliver outputs to the correct shared locations.
Perform operational QA on data exports — checking for completeness, row count consistency, blank fields, duplicate records, and obvious anomalies. Flag issues to the AI Configuration Specialist or Managed Services Lead before data enters the analyst workflow.
Maintain client configuration documentation. Update setup records when changes are made to prompt universes, competitive sets, agent workflows, or Knowledge Bases. Keep shared documentation current and accurate.
Execute onboarding checklists for new Managed Services clients — creating Profound workspaces, inputting initial prompt sets, configuring competitive sets, setting up Knowledge Base structures, and scheduling initial data pulls under the direction of the Configuration Specialist.
Perform routine prompt universe updates — adding new prompts, retiring flagged prompts, updating category tags — based on direction from the Configuration Specialist or analysts.
Coordinate data handoffs between the Managed Services team and the analyst and consultant workflow. Notify analysts when data is ready, track delivery schedules, and escalate when timelines are at risk.
Monitor agent workflows for errors or incomplete runs. Escalate technical issues to the Configuration Specialist and log incidents for tracking.
Assist with ad hoc platform tasks as needed — bulk data formatting, export cleanup, report assembly, or other operational support.
Requirements:
0–1 years of professional experience. Recent graduates are encouraged to apply.
Strong organizational skills and attention to detail. This role depends on precision and consistency — the ability to follow a process the same way every time and catch when something deviates.
Comfort working inside software platforms on a daily basis. You don't need specific platform experience, but you should be someone who picks up new tools quickly and doesn't get overwhelmed by a complex interface.
Proficiency in Excel and comfort working with CSV files, large datasets, and structured data.
Clear written communication. You'll flag issues, update documentation, and coordinate across team members — concise and accurate matters more than polished.
Ability to manage a recurring task cadence across multiple client accounts without losing track of deadlines or details.
Preferred:
Experience with any SaaS platform in an operational or administrative capacity — CRM, marketing automation, analytics, social media management, project management tools.
Coursework or experience in data analytics, marketing analytics, business intelligence, information systems, or a related field.
Interest in AI, large language models, and how technology is changing B2B buyer behavior.
Experience in an agency, consulting, or client services environment.
